What should a gentle payment reminder email say?
The amount, the invoice number, the due date and exactly how to pay, wrapped in two friendly sentences. Assume good faith: "I think this may have slipped through" rather than "you have not paid". Attach the invoice so it is one click away. Ask for a payment date, not an explanation. Gentle is about tone, not vagueness; a reminder with no amount or date is just noise.
Template 1: soft reminder before the due date
Use this three to five days before the due date, especially with a new client whose payment process you do not know yet.
Hi [Name],
Hope the week is going well. A gentle reminder that invoice [number] for [amount] falls due on [date]. I have attached it in case it is easier than finding the original.
You can pay by UPI to [UPI ID] or by NEFT to the account on the invoice. The invoice number as the payment reference makes my reconciliation much easier.
If your process needs anything from me first, just say.
Warm regards,
[Your name]
Template 2: the day after, assuming an oversight
Use this the first working day after the due date. Light, short and specific.
Hi [Name],
I think invoice [number] for [amount] may have slipped through; it was due on [date]. Attached again for ease.
Could you let me know when it is likely to go out? If it has already been paid, a quick reference number would help me match it on my side.
Thanks so much,
[Your name]
Template 3: second gentle reminder, a week later
Use this when the first reminder got no reply. Still warm, but it asks for a specific date and offers a conversation.
Hi [Name],
Following up on my note from [date] about invoice [number] for [amount], now a week past due.
I completely understand that these things queue up. Could you give me a date I can plan around? Even a rough one helps.
If there is an issue with the invoice or the work, I would rather know so we can sort it out. Happy to jump on a quick call if that is easier than email.
Thank you,
[Your name]
Template 4: small-business or freelancer reminder
Use this when you are a one-person business and the client may not realise how much a late payment matters. Honest without being heavy.
Hi [Name],
I enjoyed working on [project] and hope [the deliverable] is doing its job.
Invoice [number] for [amount] was due on [date]. As a small business I plan my month around invoice dates, so a quick payment or a confirmed date would genuinely help.
UPI to [UPI ID] is the fastest route; bank details are on the attached invoice. Thank you, and I am around if anything needs changing on the invoice.
Best,
[Your name]
Template 5: reminder sent to the accounts team
Use this when your contact has approved the invoice and it is now sitting with accounts payable. Polite, process-focused, easy to action.
Dear Accounts team,
I am writing about invoice [number] dated [date] for [amount], approved by [contact name] on [date]. It was due on [due date] and I have not yet received payment.
The invoice is attached, with our GSTIN, PAN and bank details. If you need a vendor registration form, a cancelled cheque image or anything else to process it, please tell me and I will send it today.
Could you confirm the expected payment date?
Thank you,
[Your name]

What to change before you send
Gentle reminders fail when they are vague. Keep the tone, fix the details.
- Put the exact amount including GST, the invoice number and the due date in the first two lines. Soft wording around precise facts is what "gentle" means.
- Give a real UPI ID or real bank details. Do not say "as discussed"; the accounts person was not in that discussion.
- Attach the invoice as a PDF every time, even to the same person. It saves them a search and removes an excuse.
- In Template 4, only say you are a small business if you are. The honesty is what makes it work.
- Before Template 5, ask your contact for the right accounts payable address and whether the invoice has been approved internally. A reminder to accounts for an unapproved invoice goes nowhere.
- Check the payment has not already landed. Reconcile your bank statement first.
How long to wait
A few days before the due date for the soft reminder, the first working day after for the oversight note, a week later for the second reminder, and after that move to accounts payable or a phone call. Gentle reminders work in the first two weeks; past that, switch to the firmer versions on the invoice follow-up email page.
If the client told you they pay on a fixed day of the month, send the reminder a few days before that day rather than on the invoice due date.
Let Momo AI chase it
The reminder is easy to write and easy to forget. Momo AI's follow-up tracking keeps an eye on the invoice emails you sent that have not been answered, drafts the gentle reminder in your own voice to Gmail Drafts once the days you set have passed, and waits for you to read it and tap Send. It never sends on its own. If you run a sales book as well as invoices, the sales page shows the whole loop.
