A follow-up email after a meeting records what was agreed, who does what by when, and the one thing you need from the reader. Send it the same day while the details are fresh, ideally within a few hours. Here are five versions: a recap with actions, a first-meeting thank-you, a sales follow-up, an internal summary and a nudge for when the actions stall.

## What should a follow-up email after a meeting say?

Four things: a one-line thank-you, the decisions made, the actions with an owner and a date each, and the single thing you need from the reader next. Write the actions as a list so they can be scanned and forwarded. Leave out the play-by-play of the conversation. If a decision was not reached, say so plainly and propose how it gets made.

## Template 1: same-day recap with action items

Use this after any working meeting where things were decided. It becomes the record everyone refers back to.

```
Subject: Recap and next steps: [meeting topic], [date]
Hi [Name],
Thanks for the time today. Here is what I noted so we are working from the same list.
Decided: [decision one]. [Decision two].
Actions: [Owner] to [action] by [date]. [Owner] to [action] by [date]. Me to [action] by [date].
Open: [the thing not yet decided] and who decides it.
If I have missed or misread anything, reply and I will correct the list. Otherwise I will check in on [date] once the first actions are due.
Best,
[Your name]
```

## Template 2: thank-you after a first meeting

Use this after a first conversation with a new contact, where the goal is a second meeting rather than a list of tasks.

```
Subject: Good to meet you, [Name]
Hi [Name],
Thank you for making time this morning. The part of the conversation that stayed with me was [one specific thing they said], and I have been thinking about [how it connects to what you do].
As promised, [the thing you said you would send: the deck, the introduction, the article] is attached or linked below.
If it is useful, I would like to continue the conversation in [two to three weeks]. I will suggest some times nearer then, or feel free to send me yours.
Thanks again,
[Your name]
```

## Template 3: sales follow-up after a discovery or demo call

Use this after a prospect call. It replays their problem in their words and makes the next step concrete.

```
Subject: [Prospect company] and [your product]: next steps
Hi [Name],
Thanks for walking me through how [team] handles [process] today. What I heard: [problem one, in their words], [problem two], and a target of [their stated goal] by [their timeline].
Based on that, the fit is [the specific part of your product], which would [the concrete outcome]. The pricing we discussed is [amount or plan], and I have attached the one-pager for [stakeholder they mentioned].
You mentioned looping in [name or role]. Would [day] or [day] next week work for a 30-minute session with them? I can bring a sandbox set up with your [data type].
Best,
[Your name]
```

## Template 4: internal meeting summary for people who were not there

Use this for a short, forwardable note to a manager or team after a meeting they missed.

```
Subject: Summary: [meeting topic], [date]
Hi all,
Short summary of today's [meeting name] for those who could not join.
Outcome: [the headline in one sentence].
What changed: [one or two concrete changes to plan, scope, budget or dates].
What is needed from this group: [the specific ask, with a date] from [names or roles].
Full notes are in [link or location]. Questions to me or [other attendee].
[Your name]
```

## Template 5: nudge when the agreed actions have stalled

Use this a few days after the first action date passed with nothing done. Reply to your own recap so the list is right there.

```
Subject: Re: Recap and next steps: [meeting topic], [date]
Hi [Name],
Checking on the list from [day]. On my side, [your action] is done; [link or attachment].
Still open from the meeting: [action] from [owner], due [date]. Is that still realistic, or should we move the date and tell [whoever depends on it]?
A one-line update is fine. If it would help to talk it through, I am free [two slots].
Thanks,
[Your name]
```

## What to change before you send

The recap is only useful if it is accurate and specific. Check these before sending.

- Every action needs a named owner and a real date. "Team to look into pricing" is not an action; "Priya to send revised pricing by Thursday 23 Oct" is.
- Quote the other side's words for problems and goals in Template 3. Paraphrasing into your product's language is the fastest way to lose a prospect.
- In Template 2, the specific thing you remember must be specific. If you cannot name one, send Template 1 instead.
- Attach what you promised in the meeting before you write the email, and check the attachment is actually there.
- Send to everyone who attended, plus anyone who was named as an owner but was not in the room. Do not add their manager unless that was agreed.
- For Template 5, do your own action first. A nudge from someone who has not done their part gets ignored.

## How long to wait

Send the recap or thank-you the same day, before the end of the working day if you can. The next morning is the latest that still feels prompt. After that the details blur on both sides and the email reads as an afterthought.

For the stalled-actions nudge, wait until the first action date has passed, then send the next working day. If the meeting agreed on a longer piece of work with no interim dates, check in at the halfway point with a specific question rather than "how is it going". [How to write a follow-up reminder email](/blog/how-to-write-a-follow-up-reminder-email) has the structure for that reminder.

## Let Momo AI chase it

After the recap goes out, the work is remembering what each person promised and whether it happened. Momo AI's [follow-up tracking](/follow-up-tracking) records promises in both directions from your Gmail threads, flags the ones past their date, and drafts the nudge in your voice to Gmail Drafts for you to review and tap Send. Before the next meeting with the same people, the meeting prep note shows your last exchange and what is still open. It never sends anything on its own. Sales teams can see how this fits a pipeline on the [sales page](/for/sales).

## Questions

### How soon should you send a follow-up email after a meeting?

The same day, within a few hours if possible. The next morning is the latest that still reads as prompt.

### What do you write in a follow-up email after a business meeting?

A one-line thank-you, the decisions made, the actions with owners and dates, and the one thing you need from the reader next. Keep it scannable.

### Should I send a thank-you email after every meeting?

After external meetings and any internal meeting where decisions were made, yes. A short recap costs two minutes and prevents most "I thought you were doing that" problems.

### What subject line should a meeting follow-up email have?

Name the meeting and the date: "Recap and next steps: pricing review, 16 Oct". It is easy to search for later, which is the point.
