Inbox zero in Gmail is not about reading everything. It is about getting every message out of the inbox and into one of four places: done, waiting, later, or archived. The first pass takes about 40 minutes with the right search operators. Staying there takes four filters and a five-minute habit. Here is the method, plus the shortcut if you would rather have an assistant do the sorting.

## What is inbox zero, in one paragraph?

Inbox zero means your inbox holds only messages you have not yet decided about. Everything decided is archived, snoozed, or turned into a task. The number is zero because every message gets a decision, not because every message gets a reply. The term comes from Merlin Mann's 2007 talk, and the point was always the decision, not the count.

## Step 1: archive the bulk in 40 minutes

Work from the biggest, safest category to the smallest. In Gmail search, run each query, select all, choose "Select all conversations that match this search", then archive (not delete). Archive removes the inbox label; everything stays searchable.

## Step 2: decide the rest, one at a time

What is left is recent mail from people. Open each and make one of four moves. Keyboard shortcuts (turn them on in Settings, General) make this fast: `e` archives, `r` replies, `b` snoozes, `s` stars.

- Reply now if it takes under two minutes, then archive.
- Reply later: snooze to the day you will do it. Snooze is a decision; leaving it in the inbox is not.
- Waiting on someone: reply, then add a label such as `waiting` and archive. [How to see emails waiting for a reply](/blog/gmail-emails-waiting-for-reply) covers how to review this label.
- No action: archive. Do not file into folders; search is faster than filing.

## Step 3: four filters that keep the inbox clear

Settings, Filters and Blocked Addresses, Create a new filter. Each filter should "Skip the Inbox" and apply a label, so the mail is one click away without being in your face.

## Step 4: the daily habit

Twice a day, not continuously. Open the inbox, run the four moves on everything new, close it. Ten minutes in the morning and ten before you stop. Check the `waiting` label once a day and nudge anyone past your window. [How many days to wait before following up](/blog/how-many-days-to-wait-before-following-up) gives the windows by situation.

## The shortcut: let an assistant sort

Steps 1, 3 and the review of `waiting` are exactly what [Momo AI's inbox triage](/inbox-triage) does. It sorts the last 7 days into needs reply, FYI, cold pitches, newsletters, receipts and notifications, clears the noise with one tap you can undo for 7 days, and its [follow-up tracker](/follow-up-tracking) replaces the `waiting` label by watching sent mail for threads with no reply. The morning brief shows the counts, so inbox zero becomes a tap rather than a 40-minute session. Nothing is deleted and nothing is sent without you.

## Questions

### How long does it take to get to inbox zero in Gmail?

About 40 minutes for the bulk archive with search operators, then a few minutes per day. A very old inbox may take two sessions.

### Should I delete or archive for inbox zero?

Archive. It removes the message from the inbox but keeps it searchable. Deleting saves storage but loses the record.

### Is inbox zero worth it?

The count is not the point. The habit of deciding every message once, and tracking what you are waiting on, is what reduces missed replies.

### Can AI get me to inbox zero?

An assistant can do the sorting and the bulk archive. Momo AI does both in Gmail with one undoable tap, and tracks threads waiting on a reply.
